About the Role: We are seeking an experienced Personal Assistant with exceptional organizational skills, multitasking ability, and attention to detail to support our Financial Management team. If you thrive in a fast-paced corporate environment and excel at seamless coordination, this opportunity is for you! Key Responsibilities:
  1. Support Heads of Department:
    • Serve as the right hand to the Heads of the Financial Management Department.
    • Manage their calendars, handle travel logistics, and provide general administrative support to the financial team.
  2. Event and Meeting Coordination:
    • Organize internal and external meetings, including room bookings, IT setup, and catering arrangements.
    • Plan and execute monthly team Townhalls and ‘Power Hour Sessions,’ ensuring smooth operation of each event.
  3. Document and Office Management:
    • Format documents with a keen eye for detail and manage office supplies.
    • Oversee the Financial Management group email and Teams chat, ensuring timely updates and information sharing.
  4. Auditor Liaison:
    • Facilitate auditor visits, managing room reservations, access arrangements, and necessary IT setups.
  5. Communication and Team Spirit:
    • Compile and distribute the Monthly Newsletter "Pulse."
    • Lead the Fun Committee in organizing engaging activities such as Boerie Days and themed dress-up events.
  6. General PA Duties:
    • Handle a variety of tasks including expense claims and IT requests to keep the department running efficiently.
    • Provide ad-hoc assistance to the Executive PA to the CFO as needed.
Who We're Looking For:
  • Qualification:
    • Matric and/or National Diploma in Secretarial Studies (ideal).
  • Experience:
    • 8+ years of proven experience as a PA in a corporate setting.
  • Skills:
    • Strong organizational, communication, and multitasking abilities.
    • Proactive problem-solver who enjoys challenges and can adapt to changing priorities.
  • Personality:
    • A proactive, adaptable individual who thrives in a dynamic, fast-paced environment.
